Mitchell's Tax & Financial Solutions

Privacy & Security Policy

Draft for owner and attorney review. Last updated October 23, 2026.

Who we are

Mitchell's Tax & Financial Solutions provides tax preparation, bookkeeping, business formation and related services. This policy explains what information we collect through this website and client portal, how we use it, and the choices you have.

Information we collect

  • Account details: name, email address, phone number and password (stored by our sign in provider, not readable by our staff).
  • Intake answers you give us, such as filing status, household, income types, occupation and business details.
  • Documents you upload, such as W-2s, 1099s, receipts, bank statements and identification.
  • Agreements you sign, with the version, date and time of signature.
  • Messages, appointment requests and payment records. Card details are handled by our payment processor; we do not store full card numbers.
  • Basic technical information such as the date and time of sign in, used for security records.

How we use it

We use your information to provide the services you request, prepare documents and returns for review, communicate with you, process payments, keep required records, and protect your account. We do not sell your information. We do not use your tax return information for marketing without your separate written consent.

Your client portal

Your portal shows your own requests, documents, agreements and messages. Our office staff, and a tax preparer assigned to your case, can see your case to do the work. Other clients cannot see your information.

Service providers we use

  • Website hosting, database, sign in and file storage: our cloud hosting provider and its infrastructure partners.
  • Payments: Stripe.
  • Video appointments: Daily.co.
  • Document text recognition: Google Cloud Document AI may read the text of documents you upload so our staff can review them. Our office approves this before any client document is sent.
  • Artificial intelligence assistance: we are evaluating OpenAI to help our staff organize draft worksheets. No client information is sent to OpenAI today. We will only start after our legal and security review is complete and, where the law requires it, after you sign a separate consent.

A licensed preparer reviews every return. No automated tool files a return or decides whether you qualify for a credit.

Tax return information consent

Federal law (Internal Revenue Code section 7216) limits how tax preparers use and disclose tax return information. When a separate consent is required, we will ask you to review and sign it as its own document. It is not part of this policy, and you may decline it without losing our tax preparation services.

How we protect information

Access to client records is limited by account role and case assignment, and the database enforces these limits. Sensitive numbers are masked on screen where possible. Connections to this website use HTTPS. We keep records of sign ins and important actions. No system is perfectly secure, and we cannot guarantee that information will never be accessed without permission.

How long we keep information

If your case does not proceed to filing, we plan to remove it about 30 days after the case is closed or withdrawn, or after the last activity on it, whichever is later. Open or pending cases are not removed.

If your case proceeds to filing, we plan to keep the records for 7 years from the filing or acceptance date, whichever is later.

We may keep records longer when the law requires it, or during a legal hold, a payment dispute or chargeback, a fraud review, or a government inquiry. Removing a record from our system may not immediately remove copies in backups or held by our service providers; those copies expire on the providers' own schedules. These periods are pending final legal review.

Your choices and requests

You may ask to see, correct or delete your information, or ask a question about this policy, by emailing FileNow@MitchellTax.Finance or calling 877.288.1005. We will verify your identity before acting on a request.

Reporting a security concern
